WhatsApp strategy: turn warm attention into closed conversations

Every WhatsApp deal is won inside the 24-hour window. Answer fast, ask a question, keep the clock running.

The play

The play on WhatsApp is not posting. You earn attention somewhere else, you move the interested people into a WhatsApp thread, and you answer like a human within minutes. That is the entire strategy, and it works because nobody else in their thread list takes four hours to reply.

Everything follows from one constraint. WhatsApp gives you a 24-hour customer service window after someone messages you. Inside it you can say anything. Outside it you can only send approved template messages. So the job of every reply you write is to earn the next reply while the clock is still running.

This is the cleanest version of the three beats you will find anywhere. Get the word out happens on the platforms that have feeds. Capture happens the second someone taps your link and a message lands in your inbox. Don't lose it is a literal countdown here, which is what makes WhatsApp the place a half-decided buyer finally answers.

What this platform is actually good at

WhatsApp sits next to someone's family group chat. That is the strength and the danger. You get read here. You also get judged here, the moment you sound like a form letter.

Be honest with yourself about the trade: you are giving up reach to get intimacy. Nothing you do on WhatsApp compounds into an audience. It only compounds into relationships.

  • Strength: messages get opened. If someone messaged you, they will read what you send back.
  • Strength: it is a real conversation. Voice notes, photos, a PDF, and a payment link all live in the same thread.
  • Strength: it closes. People who will not book a call will answer a question typed with their thumbs.
  • Limit: zero discovery. No feed, no algorithm, no followers, no hashtags. Nobody finds you here on their own.
  • Limit: opt-in only, with a hard 24-hour window. There is no blasting your way to volume, and no cold list to work.

Get the word out

There is no post on WhatsApp. Outbound for this channel means outbound everywhere else, all of it aimed at one link. Your Blast Queue moves on Instagram, X, LinkedIn, Facebook and email are what fill this inbox, so treat the WhatsApp link as the destination for a share of them rather than as a separate workload.

Budget twenty minutes a day: ten placing the link, ten moving live conversations, plus two windows where your phone is actually in your hand.

  1. Build one click-to-WhatsApp link with a prefilled first message, so nobody faces a blank box. Use the same link everywhere.
  2. Put it in every bio, your email signature, your invoices, your slides, and your Aura Store.
  3. Once a week per platform, run a post whose call to action is WhatsApp instead of a landing page. Ask for a word, not a click-through-and-fill-a-form.
  4. Every day, move two conversations. When a comment or DM shows real intent, give a reason to switch: "easier to send you the file on WhatsApp, here."
  5. Twice a week, work the tail. Anyone who messaged in the last few days and went quiet gets one genuinely useful message before their window closes.
  6. Once a week, check the Dashboard funnel and see which platform actually sent people. Feed that one more and stop spreading thin.

Capture the interest

The call to action that works here is one instruction with one word attached. Not "reach out anytime." Not "DM me for details." Give them a specific thing to type, and prefill the message so they only have to hit send.

Lines that pull, in the format that fits each surface:

  • Post caption: "Want the pricing sheet? Tap the link in my bio and send me the word PRICING."
  • Comment reply: "Faster on WhatsApp, I'll send you the file there: [link]"
  • Prefilled link text: "Hi, I saw your post about onboarding and I want the template."
  • Store or site button: "Not sure which one you need? Ask me on WhatsApp before you buy."

Your first message back does exactly two things: deliver what you promised, then ask one question that tells you whether this is real. "Sent, it's above. Before I answer properly, how many of these are you running a month?" Do not open with the purchase link. Deliver, qualify, then hand over checkout once you know what they need.

Don't lose it

On WhatsApp, an hour is slow. By the afternoon they have decided you are not interested. People are comparing your response time to their friends', not to other businesses, and they will not tell you that you failed the test. They just stop typing.

The clock is the strategy

The 24-hour window runs from their last message, and every new message from them resets it. So end every reply with a question. A question is not politeness here, it is another 24 hours of being allowed to speak freely.

Follow-up cadence inside the window: if they go quiet mid-thread, one short nudge the same day. If they answered and cooled off, one message the next morning while the clock still allows it. Once the window closes, do not spray approved templates at them. Go back to the platform they came from and re-engage there, or wait for a reason worth a template.

What kills deals here is sounding automated. Magic Queue is built against exactly that: every inbound WhatsApp message arrives with a drafted reply that is held for you. You approve, edit, regenerate, or skip, and nothing sends without you. Approve in one tap when the draft is right, cut it to three lines when it is not. That is how you get bot speed with human voice.

Set it up in Aura Blaster

Setup is short because there is no publishing side to configure. You are wiring a capture and close channel, then making sure the drafts sound like you.

  1. Channels: connect WhatsApp with your Cloud API credentials, the phone number id and the access token. Message the number from your own phone to confirm it lands.
  2. Persona: fill in what you sell, how you talk, your objection handling, and your purchase link. Every WhatsApp draft is grounded in this, so add a note that your messages are short and lowercase-casual if that is how you actually text.
  3. Strategy: WhatsApp takes no posting frequency because it has no feed. Use Strategy to set tone and goals, and keep the feed platforms that feed WhatsApp switched on rather than excluded.
  4. Magic Queue: this is where every inbound WhatsApp message lands with a held draft. Approve, edit, regenerate or skip. Approved replies send back automatically, inside the window.
  5. Messages: read the full thread in the unified inbox before you approve anything longer than a line. Context is what stops a draft from repeating something you already said.
  6. Blast Queue: your outbound moves live here. The WhatsApp-relevant ones are the posts and comments elsewhere that carry your link. Use "Remind me" on follow-up moves and check the Calendar so nothing sits.
  7. Aura Store: set your storefront link as the purchase link in Persona, so an approved reply can hand someone checkout without leaving the chat.

What kills it

Six habits waste a WhatsApp number faster than anything else you can do wrong.

  • Opening with "Thank you for contacting us, an agent will be with you shortly." Make your first line answer the actual question, and cut every approved draft to two or three sentences before it sends.
  • Letting the window expire mid-conversation. End every message with a question so their reply resets the clock.
  • Messaging people who never messaged you. WhatsApp is opt-in, so build the inbound link and let them start it.
  • Sending a wall of text. Phone screens punish paragraphs, so break it into short messages the way you text a friend.
  • Dropping the purchase link in the first reply. Deliver what you promised, ask one qualifying question, then send the link once you know which offer fits.
  • Connecting a number nobody watches. Route it through Channels so everything lands in Magic Queue and you see it in one place instead of three.

Your first two weeks

One thing at a time. Work straight down the list — every line is a single move you can finish today, and none of them needs the one under it to be done first.

  • Connect WhatsApp on the Channels page with your Cloud API phone number id and token.
  • Message your own number and run one reply end to end through Magic Queue.
  • Fill in Persona with your offer, your purchase link, and your three most common objections.
  • Build one click-to-WhatsApp link with a prefilled first message and save it somewhere you can grab fast.
  • Place that link in every bio, your email signature, and your Aura Store.
  • Add a WhatsApp call to action to the end of your posts on your two strongest channels.
  • Block two check windows a day and clear every held draft inside fifteen minutes.
  • Cut each approved draft to three lines before you send it.
  • End every reply with a question so the 24-hour window stays open.
  • Review the quiet threads from last week and send each one useful thing before their window closes.
